Troubleshooting

When the list looks wrong.

Most dead ends are environmental: trimmed SSDs, overwrites, or failing media. Triage with this grid.

SSD + TRIM

SSDs clear deleted blocks fast. If TRIM already ran, nothing reconstructs that data. Act immediately and calibrate expectations versus HDDs.

“Unrecoverable”

Overwritten clusters are gone. Heavy activity after deletion shrinks the window—Deep Scan may find fragments only.

Permissions

Run as administrator for system paths and other profiles. Close apps that lock files on the target volume.

Deep Scan “stuck”

Big disks take time. Stable power, no sleep, let it finish—aborting often means redoing hours.

USB & readers

Try another cable or port; front-panel hubs often under-power spinning disks. If the device disconnects mid-scan, stabilize hardware before a third attempt.

BitLocker & encryption

Encrypted volumes need keys. Recuva reads logical sectors you can access—without decryption, filenames and content stay opaque. Recover keys from your Microsoft account or IT before assuming the tool failed.

Triage order

Work problems in this sequence

Jumping to Deep Scan before checking environment burns hours. Use this ladder.

    Confirm the disk is healthy enough

    Clicks, SMART errors, or random disconnects point to hardware first. See FAQ on failing drives.

  2. 2

    Rule out writes and TRIM

    Stop using the source volume. On SSDs, accept that delay equals data loss risk.

  3. 3

    Normal scan, then filters

    If entries exist but look wrong, tune path/type before escalating.

  4. 4

    Deep Scan + patience

    Last resort for missing indexes—plan power and time; recover elsewhere.

Windows layers

What sits above Recuva

The app reads volumes the OS exposes. These layers often explain “access denied,” missing drives, or files that vanish again after reboot.

  • Defender & AV

    Real-time scanning can touch files on open volumes. If installs or recoveries fail mysteriously, check exclusions policy—but only where security allows.

  • Controlled Folder Access

    Windows may block unknown apps from writing to Desktop, Documents, etc. Whitelist Recuva temporarily or restore to an unprotected path first.

  • Storage Sense & cleanup

    Automated temp and Recycle Bin emptying shrinks recovery windows. Pause aggressive cleanup policies during an active incident.

About CHKDSK

Repair modes can move or truncate data to make the file system consistent. For recovery-first scenarios, image or scan before letting repair run unchecked—especially on suspect disks.

Event Viewer breadcrumbs

Disk / NTFS warnings around the incident timestamp help justify hardware swaps or lab handoff. Screenshot the errors when opening a ticket.

False alarms

When Recuva looks fine but nothing copies

The scan succeeded; the failure moved to Windows, path length, or destination space. These trip people after the hard part is supposedly done.

  • Destination full

    Recovering hundreds of GB to a nearly full SSD fails mid-batch with generic errors. Free space on the restore drive—not the source—is the limit.

  • Path too long

    Deep folders plus original path restore can exceed MAX_PATH limits. Restore to a short root like R:\ first, then rename in Explorer.

  • OneDrive “online-only”

    Files that never hydrated to disk were never there for Recuva to undelete locally. Check the cloud recycle bin; see FAQ on sync providers.

  • Junctions & symlinks

    A “folder” under your profile may point elsewhere. If deletes followed a link, the real volume to scan is the target path—not only the shortcut’s parent.
